1. Introduction This Privacy Policy describes how "Client Form Tools" (the "Add-on"),
developed by Bonick Consultancy, handles your information when you use our Google Sheets
add-on. Our commitment is to provide the Add-on's functionality while respecting your privacy
and ensuring data remains within your control in your Google Workspace environment.
2. Information the Add-on Accesses and How It's Used The Add-on requires access to certain
data within your Google Workspace account to perform its functions. All data access and
processing is initiated by you and occurs within your Google account.
Google Sheets Data:
o Reading Headers and Client Names: The Add-on reads headers from your
designated "Output" sheet to dynamically create questions for a new Google
Form. It also reads client names from this sheet (typically column A) to populate
a dropdown list in the Add-on's sidebar for your convenience.
o Writing Form Responses: After a linked Google Form is submitted, the Add-on
processes the submission and writes the relevant data into your "Output" sheet in
the row corresponding to the client.
o Configuration Data (Config sheet): The Add-on reads and allows you to write
email subject and body templates to a sheet named "Config" within your
spreadsheet.
o List Data (List sheet): The Add-on reads checkbox values from a sheet named
"List" to dynamically show or hide columns in your "Output" sheet.
o Timestamps: The Add-on writes a "Last Form Update" timestamp to the
"Output" sheet when a form submission is processed for a client.
Google Forms Data:
o Form Creation and Management: The Add-on creates and manages a Google
Form on your behalf within your Google Drive. This includes adding, modifying,
and deleting questions based on your "Output" sheet headers.
o Form Destination: The Add-on sets the response destination for the created
Google Form to the Google Sheet from which the Add-on is being used.
o Pre-filled Links: The Add-on generates pre-filled Google Form URLs to include
the client's name.
Email Sending (via MailApp):
o When you use the Add-on's sidebar to send a form link, the Add-on uses Google's
MailApp service to send an email directly from your Google account to the client
email address you provide.
o The Add-on uses the email templates stored in your "Config" sheet and the client
name you select to compose these emails.
Document Properties (PropertiesService):
o The Add-on uses Google's PropertiesService (scoped to the specific document
you are using it with – DocumentProperties) to store:
The ID of the Google Form created and linked to that particular
spreadsheet.
Cached data from your "Output" sheet to enable the feature of restoring
data when columns are hidden and then re-shown via the "List" sheet.
o This information is stored within your Google account, associated directly with
that Google Sheet document.
No Developer Data Collection:
o Bonick Consultancy the developer of "Client Form Tools," does not collect,
store, transmit, or have access to your spreadsheet data, your Google Form
content or responses, your client lists, client email addresses, the content of emails
sent, or any other personal information processed by the Add-on. All processing
and storage occur within your Google Workspace environment.
3. Data Storage and Security All data accessed, processed, or stored by the Add-on remains
within your Google Workspace account (Google Sheets, Google Drive, Google Forms, and
associated DocumentProperties). The security of this data is subject to Google's security
measures for their services. We do not use any external databases or servers to store your data.
4. Data Sharing The Add-on does not share your data with any third parties. The Add-on solely
facilitates the use of Google's own services (Google Drive, Google Sheets, Google Forms, Gmail
via MailApp) as directed by your actions within the Add-on.
5. Google API Services User Data Policy (Limited Use Disclosure) "Client Form Tools'" use
and transfer to any other app of information received from Google APIs will adhere to the
Google API Services User Data Policy, including the Limited Use requirements. Specifically:
The Add-on uses information received from Google APIs (Google Sheets, Google Forms,
Gmail via MailApp) only to provide and improve its user-facing features as described in
Section 2 of this policy.
We do not use data obtained through Google APIs for serving advertisements, including
retargeting, personalized, or interest-based advertising.
We do not sell any data obtained through Google APIs.
Human access to data obtained through Google APIs is limited to troubleshooting the
Add-on's functionality, for security purposes, or with your explicit consent for support.
6. User Control and Choices You have control over your data:
You can uninstall the Add-on at any time from Google Workspace Marketplace or
through the "Extensions" > "Add-ons" > "Manage add-ons" menu in Google Sheets.
You can revoke the Add-on's permissions to access your Google account data via your
Google Account settings (https://myaccount.google.com/permissions).
All data (sheets, forms, document properties) created or managed by the Add-on resides
in your Google account, and you can manage or delete it using standard Google
Workspace tools.
7. Children's Privacy The Add-on is not intended for use by children under the age of 13 (or
equivalent minimum age depending on jurisdiction). We do not knowingly collect personal
information from children.
8. Changes to This Privacy Policy We may update this Privacy Policy from time to time. We
will notify you of any significant changes by posting the new Privacy Policy on our Google
Workspace Marketplace listing or providing an in-app notification. You are advised to review
this Privacy Policy periodically for any changes.
